AutoCont New Release 2.2.22.30

1. e-Invoice License Control

This version introduces e-Invoice License Control.

Please take note of the following scenarios:

  • To create a new account book for e-Invoice use (with AIP ID), you must use Revision 30 or above.
  • New account books are subject to e-Invoice license control. Without an activated e-Invoice license, the system limits e-Invoice submission to 30 documents per year. To submit more than the limit, you need to purchase & activate the e-Invoice license.
  • If an account book already had an AIP ID set up in a version prior to Revision 30, it can continue to perform e-Invoice submissions after updating to Revision 30, even without activating the e-Invoice license — until further notice.

2. Import Supplier e-Invoice from MyInvois Portal

A) Import Supplier e-Invoice from MyInvois Portal

New Features:

Download suppliers new issued e-Invoices from MyInvois Portal & import them into AutoCount documents.

Simplify the import process, perform Supplier Item Mapping in advance.

This allows the system to automatically recognize & match the supplier’s item with your item code.

Go to e-Invoice (1) > Supplier Item Mapping (2)

Click on (+) button

Select the Creditor Code & corresponding Item Code to match with the supplier’s item description

Click on Save, and the item list will show up

Next, go to e-Invoice > Import Supplier e-Invoice from MyInvois Portal

Sync the e-Invoices issued by your suppliers

Filter the desired date range (1) > Click Start Sync (2)

Click Yes to confirm (3)

Once sync is complete, double-click to view & check the invoice.

You may reject the invoice or convert it into a Purchase Invoice, Cash Purchase, or AP Invoice

When converting to a Purhcase Invoice:

  • The system will automatically select the item code based on the supplier item mapping
  • If no matching item is found, you can manually assign the item code
  • Once done, you may save or approve the Purchase Invoice

Note: The final total must match exactly with the record in the MyInvois Portal; otherwise, the creation will fail

If you choose to reject, must provide a reason

Once the invoice is rejected, AutoCount will display the status as Valid Invoice (Rejected)

B) Reconcile Supplier e-Invoice

In addition, we also support Reconcile function to help match imported supplier e-Invoices with existing records in the system.

To use this function, go to e-Invoice > Import Supplier e-Invoice from MyInvois Portal

Click Reconcile

If you’ve already created a Purchase Invoice, Cash Purchase, AP Invoice, Purchase Return or AP Credit Note, there’s no need to convert the synced e-Invoice again. Instead, use this function to match it to the existing document.

  1. Filter the date range & click Inquiry
  2. Select the matching (or partially matching) document & click Update

If the system detects more than one partially matched record, a remark will be shown. You can double click it to view the further info.

Then, select the AC Doc Type & AC Doc No to match the record, and click Update

The system will display a dialog with the following message, click “Yes” to proceed

Once the update is complete, another dialog will appear, click “OK”

After updating, the AutoCount Doc No will appear in the list

In the Purchase Invoice grid, you can now view the e-Invoice status and UUID after matching or conversion

*This method also can be used if you choose not to import & key your Purchases manually but want to ensure & reconcile these transactions with MyInvois Portal records

3. Add Option to Enable Edit Validated e-Invoice

3.1 Add Option to Enable Edit Validated e-Invoice within 72 hours Mechanism

A new option, “Enable Edit Validated e-Invoice wihtin 72 hours Mechanism” has been added in this version.

You can find it under e-Invoice > e-Invoice Setting > Setting

  • When disabled, only non-e-Invoice related fields can be edited
  • This setting is checked by default. If you do not wish to run this mechanism, kindly uncheck it.
  • If the setting is unchecked and you attempt to edit any e-Invoice related fields, a blocking message will prompt you during save

Tick/Untick

You will be blocked and unable to edit the document if untick the function

4. Support Drill Down to Self-Billed Document

You can now double click the Self-Bill Doc No (from related documents like PI, Cash Book, etc.) to drill down directly to the Self-Billed document

5. Support Customize Layout Features at Self-Bill Copy

You can now customize & save the layout in the Copy From Document form under Self-Billed

Right click on empty space and click Save Layout after done customize
